Client review workflow

Client document review, without another portal

Keep the brief, the working file, client feedback and the final version in one place. Your client receives a review link, not a new account to create.

What this workflow is for

Review is for improving the document, not forcing a decision.

Use client document review when a client needs to react to a working file: a proposal, campaign plan, design proof, report or scope. The purpose is to make feedback specific before the document becomes final. A review can produce questions, requests for changes, or a clear note that the client is happy to proceed.

That makes review different from approval or signing. It is the useful, open part of the process: people can point to the document, explain what needs changing, and give the team enough context to prepare the next version. The review link gives the client a simple place to do that without asking them to join another workspace.

The workflow

One document, every next step.

  1. 01
    Your team

    Prepare the document

Create from a template or upload the working PDF to the client project.

  2. 02
    Your team

    Review it internally

Add comments, resolve the decisions you have made, and keep the prior version intact.

  3. 03
    Client

    Send a review link

Invite the client to view, comment and respond without an EveryTask account.

  4. 04
    Your team

    Revise and close the loop

Make the changes, keep the new version, and move on to approval or signature when it is ready.

Choose the right next step

Use review when the work is still open to change.

The client needs to comment

Choose review when the useful result is feedback on wording, scope, a proof or a recommendation, not simply a yes or no.

The document may have another version

A review cycle assumes the team may revise the file. Keeping each save as a version makes it possible to see what the feedback changed.

The next step is not yet signature

When the document is settled, it can move into an approval or signing workflow. Review should not pretend that an informal “looks good” is a completed agreement.

Why keep it together

The file is the shared context.

  • Clients review through a link instead of a new workspace login.
  • Comments and decisions remain attached to the document.
  • Every save retains the prior version for a clear revision trail.

Keep the process clear

Make the current version unmistakable.

Name the review you are sending

Before sharing, make sure the selected document is the version the client should discuss. A clear version trail is more useful than asking clients to infer “latest” from a file name.

Resolve feedback in the document context

When a request is acted on, the revised document and the earlier discussion remain connected. The next reviewer can understand the decision without rebuilding it from messages.

Escalate a final decision deliberately

If feedback becomes a request for formal approval, a signed agreement or an internal owner’s decision, move it to that explicit step instead of treating a comment as proof of completion.

Questions, answered

Client document review questions

Does my client need an EveryTask account to review a document?

No. A client can use the review link to open the document and respond without creating an EveryTask workspace account.

What is the difference between review and approval?

Review is for feedback and revisions. Approval is the point where the responsible person makes a clear decision on a settled document.

Can we keep an earlier draft after we revise the document?

Yes. Saving a later revision keeps the earlier version available with the document, so the team can return to the context that led to the change.

Can a reviewed document be sent for signature later?

Yes. Once the review is complete, the final version can continue from the same document record into the signature step.
